01Who We Are and Scope
MyTabulon is operated by Maximo AI LTD, a company registered in Nigeria with CAC number RC - 8496452. In this Policy, "MyTabulon", "we", "us", and "our" refer to Maximo AI LTD in connection with the MyTabulon platform.
This Policy applies to our websites, web app, PWA, APIs, dashboards, billing flows, WhatsApp and Telegram account-linking flows, support channels, and related services. It covers personal data and business content processed when you create an account, manage a company workspace, invite team members, upload files, use Maximo AI, generate invoices, manage customers, or connect third-party services.
Business customers remain responsible for giving their own clients, employees, vendors, and contacts any notices required for data they enter into MyTabulon.
02Data We Collect
We collect data you provide directly, data generated by your use of the platform, and data received from services you choose to connect.
- Account data such as name, email, password hash, role, phone number, profile photo, login activity, device/session data, and security settings.
- Company data such as legal name, DBA, registration number, industry, contact details, team roles, business username, currency, timezone, billing email, logo, and company settings.
- Workspace content such as leads, clients, customers, invoices, quotes, payment links, inventory, accounting records, payroll records, tasks, approvals, files, notes, chat messages, AI prompts, automations, and business memory entries.
- Payment and subscription data such as plan, checkout status, transaction references, invoices, payout settings, refunds, and billing metadata. We do not intentionally store full payment card numbers.
- Integration data from services you connect, including WhatsApp, Telegram, Google Calendar, email delivery, cloud storage, payment processors, and notification systems.
- Technical data such as IP address, browser type, user agent, pages viewed, timestamps, error logs, cookie or local storage identifiers, and security/audit events.
03How We Use Data
We use data to operate, secure, improve, support, and bill for MyTabulon. We also use data to provide AI-assisted workflows when you ask the platform to process business context.
- Create and manage accounts, company workspaces, roles, permissions, sessions, and onboarding.
- Deliver CRM, invoices, quotes, payments, accounting, payroll, inventory, files, operations, notifications, integrations, and AI features.
- Process subscriptions, checkout, payment verification, refunds, payout accounting, invoices, and service communications.
- Prevent fraud, abuse, security incidents, unauthorized access, and policy violations.
- Respond to support, legal, regulatory, audit, tax, accounting, and compliance requests.
- Improve product reliability, diagnose errors, measure feature usage, and develop safer platform behavior.
04Lawful Bases
Where Nigerian data protection law applies, we rely on appropriate lawful bases including contract, consent, legal obligation, legitimate interests, and, where relevant, vital or public interest. The lawful basis depends on the data and processing activity.
- Contract: to provide the service you requested, manage your account, process payments, and deliver support.
- Consent: for optional integrations, marketing preferences, messaging-channel linking, cookies where required, and certain AI or notification settings.
- Legal obligation: for tax, accounting, dispute, regulatory, sanctions, fraud-prevention, and record-keeping duties.
- Legitimate interests: to secure the platform, prevent misuse, improve reliability, maintain business records, and understand usage in a privacy-conscious way.
05Maximo AI, Automations, and Business Memory
Maximo AI can process workspace content, uploaded files, prompts, chat history, business records, tool outputs, and integration data to answer questions, draft content, summarize records, and prepare actions. Some AI features may store durable business memory so your workspace can remember approved facts, preferences, and operating context.
AI outputs can be incomplete or inaccurate. You should review AI-generated content before relying on it, sending it to third parties, recording it as a business decision, or using it for legal, accounting, tax, employment, medical, financial, or regulated matters.
- You control what you upload, type, connect, approve, retain, or delete in supported AI memory features.
- We may send relevant prompts, files, metadata, and tool context to AI infrastructure providers to generate responses.
- We use safeguards, access controls, and review flows, but AI features should not be treated as a substitute for professional advice.
06Sharing and Processors
We do not sell personal data. We share data only as needed to operate MyTabulon, comply with law, protect rights, or support integrations you choose.
- Service providers for hosting, databases, storage, analytics, logging, security, email, push notifications, payments, AI processing, and customer support.
- Third-party integrations that you connect or instruct us to use, such as messaging platforms, calendar providers, payment processors, and cloud services.
- Company workspace members according to the roles, permissions, sharing settings, and records configured in the workspace.
- Authorities, courts, regulators, auditors, professional advisers, or counterparties where legally required or necessary to protect rights, safety, security, or service integrity.
- A successor entity in connection with a merger, financing, acquisition, restructuring, or sale of assets, subject to appropriate protections.
07International Transfers
MyTabulon may process and store data in Nigeria and other countries where we or our service providers operate. Those countries may have data protection rules different from your location.
When we transfer personal data internationally, we use appropriate safeguards such as contractual commitments, security controls, access restrictions, and transfer assessments where required.
08Security
We use administrative, technical, and organizational measures designed to protect data against unauthorized access, loss, misuse, alteration, and disclosure. Measures may include password hashing, session controls, role-based access, audit trails, encrypted transport, secure storage controls, least-privilege access, monitoring, backups, and incident response.
No online service is perfectly secure. You are responsible for using strong passwords, protecting your devices, managing team access, and promptly telling us if you suspect unauthorized use.
09Retention
We keep data for as long as needed to provide MyTabulon, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, secure the platform, and support backup or audit requirements.
Retention periods vary by data type. For example, account and company records are generally retained while the account is active; billing and accounting records may be retained for statutory periods; security logs are retained for a limited operational period; and certain AI business memories may use retention settings selected in the workspace.
10Your Privacy Rights
Subject to applicable law and identity verification, you may have rights to be informed, access your data, correct inaccurate data, withdraw consent, object to or restrict certain processing, request deletion, request portability, and challenge solely automated decisions where applicable.
You may also lodge a complaint with the Nigeria Data Protection Commission or another competent regulator. We ask that you contact us first where possible so we can try to resolve the issue promptly.
Send privacy requests to privacy@mytabulon.com. We may need to verify your identity and confirm your authority over the relevant workspace before acting.
11Cookies and Local Storage
We use cookies, local storage, and similar technologies to keep you signed in, remember theme and app preferences, support PWA behavior, protect sessions, understand performance, and improve product reliability. Our Cookie Policy explains the categories and choices in more detail. You can control some technologies through your browser, but disabling them may affect the platform.
12Children
MyTabulon is a business operations platform and is not directed to children. You must not create an account or submit personal data if you are not legally able to enter these Terms or use the platform for business purposes.
13Changes to This Policy
We may update this Policy when the platform, our processing, or legal requirements change. We will update the effective date above and, where appropriate, provide additional notice in the product or by email.
