AI Automations monitor business signals, install repeatable workflows, draft serious customer communications, request owner approval, auto-send only inside selected rules, and run scheduled or realtime AI jobs outside live chat.
- AI Automations is owner/admin-only because workflows can expose sensitive signals, approval queues, customer communications, and scheduled background actions.
- Automations are paid-plan features; Free users are sent to Plan & Billing when they try to create or run workflows.
- The Signals view shows live business checks such as low stock, unpaid invoices, invoice follow-up opportunities, payment reminders, quote follow-ups, abandoned leads, overdue tasks, budget overruns, and expiring quotes.
- The Comms view installs customer communication workflows for invoice follow-ups, payment reminders, quote follow-ups, and abandoned lead nudges.
- The Scheduled AI task panel creates one-off or repeating jobs with title, instructions, first wake time, optional stop-after time, wake-every interval in minutes, max runs, and delivery channels.
- Scheduled AI tasks can watch live topics such as product events, industry news, customer updates, market changes, or operational exceptions, then send compact updates while saving the work in chat.
- Delivery channels include in-app, browser push, email, WhatsApp, and Telegram when those channels are connected and enabled.
- Users can pause, resume, stop, run now, delete, modify, or open the saved chat log for each scheduled AI task.
- Customer emails use the business logo, company name or DBA, currency, document summary, serious wording, secure invoice payment links, and clear next-step buttons.
- Invoice-based automation emails can create or reuse secure /pay token links so customers can open the invoice and pay without dashboard access.
- Quote follow-ups and lead nudges use reply actions until a public quote or public lead response page exists.
- Approval security controls in-app, email, WhatsApp, Telegram, and Slack approval channels.
- Auto-approval rules can be enabled only for selected workflow types and are limited by the company currency max amount, defaulting to 10,000.
- Runs and approvals show pending runs, drafted actions, recipients, message body, approve and reject controls, and execution history.
- Background AI jobs run outside live chat, reuse a normal Maximo chat session, and return durable analysis records.
- The temporary development email preview page can render the current automation email family, including approval request previews, before testing real sends.
