What should I do first after creating a business?

Open Business Settings, complete the company profile, set the currency, upload the logo, confirm billing, then add clients, inventory, or leads depending on what the business sells.

Why do I see a plan or upgrade message?

The app checks the active workspace's effective subscription, subscription state, and usage caps before opening or changing protected records. Owner-created workspaces can inherit the owner's account plan from another billing-home workspace, while joined team workspaces use that company's owner plan. A 402 response usually means the effective plan is free, inactive, or has reached a limit for that feature. File Manager checks file count, storage, and per-file upload size: Free 50 MB, Plus 250 MB, Pro 2 GB, and Max 10 GB. AI Images checks image credits, daily and personal caps, model access, source limits, File Manager count, and storage. Maximo Cloud Computer checks computer minutes, daily/monthly caps, max run length, and concurrency. Gemini Live starts on Pro, while Grok Voice remains available on paid plans. Support also follows the plan: Free uses guide, community, and email; Pro and Max include monthly Google Meet allowances.

Which support options does each plan get?

Free gets the guide, community guidelines, and email support only. Plus gets standard email and ticket support. Pro gets priority support plus 1 included 30-minute Google Meet call per month. Max gets priority onboarding plus 4 included 30-minute Google Meet calls per month. Paid extra Google Meet calls and in-person support requests are currently available only for Nigerian businesses based on the Business Settings country. In-person support is never instant booking; it is reviewed, quoted, approved, and scheduled by the owner team.

Which plans include Gemini Live?

Gemini Live is included on Pro and Max as a separate realtime pool from Grok Voice. Pro includes 300 shared Gemini Live minutes monthly with 10 minutes per 5 hours, 20 daily, and 60 weekly per user. Max includes 1,200 shared minutes monthly with 30 minutes per 5 hours, 60 daily, and 180 weekly per user. Gemini Live supports voice, camera/video, and attachment context from Maximo chat.

Where are the Maximo AI WhatsApp and Telegram bot links?

What slash commands can I use in Maximo AI?

Type /side, /compact, /fork, /review, /computer, /codex, /syntax, /hermes, or /openclaw in the Maximo composer. /side opens a separate side chat, /compact manually compacts thread context, /fork creates a new thread, and /review asks Maximo to audit the chat and changes. /computer runs the built-in Maximo Computer, while /codex, /syntax, /hermes, and /openclaw use configured agent profiles. The same slash menu can also select active Agent Skills and enabled MCP servers as context chips for the next request; Maximo still loads and uses them through the normal permission-checked tools.

How does Maximo Cloud Computer work?

Maximo Cloud Computer is a tool that the selected Maximo chat model can call when a task needs real execution. The selected chat model stays in control: it plans, writes exact terminal commands or a fenced Python, JavaScript, or Bash script for built-in /computer runs, reads the output, and answers. The built-in computer executes those commands; connected Codex, Syntax, Hermes, and OpenClaw profiles are autonomous external runners. When Cloud Workspace is enabled on an attached project, later computer or agent runs can restore the same logical workspace, continue repository work, save a new snapshot, and expose the tree in Files through Workspace Files.

Which plans include Maximo Cloud Computer and external agents?

Free includes project folders but no computer minutes. Plus includes 15 minutes per run, 20 daily, 60 monthly, and 1 concurrent run. Pro includes 45 minutes per run, 120 daily, 600 monthly, and 2 concurrent runs. Max includes 60 minutes per run, 600 daily, 3,000 monthly, and 4 concurrent runs. External Hermes/OpenClaw-style agent profiles use a smaller pool: Plus 30 monthly, Pro 300, and Max 1,500.

Do computer runs also count against AI model usage?

Yes. Computer minutes measure runtime for browser, code, file, and agent execution. The Maximo chat model still uses normal AI input/output tokens when it plans, calls the tool, and summarizes the result. If a connected Codex, Syntax, Hermes, or OpenClaw profile uses MyTabulon-managed model providers, those model calls should also count to AI usage. User-owned external API keys may be billed by that provider while MyTabulon still meters runtime.

Is my AI Browser session isolated and secure from other team members?

Yes. The AI Live Browser provides complete team member isolation. Each team member is assigned an independent, private Chromium process and browser profile. When you sign in to a site (like GitHub or Salesforce) in the AI Browser, your session cookies, local storage, and cached logins are encrypted and backed up separately. Other members of your team or workspace cannot see, access, or inherit your saved browser logins, ensuring maximum privacy and security.

Can I add context while Maximo is still running?

Yes. While Maximo is running, the composer remains available. Send another message to add context, correct direction, or steer the active answer; Maximo keeps the original request in view and folds the extra context into the final response. Use Stop only when you want to end the run.

How does Side Chat work?

Side Chat opens with /side and creates a separate context-aware side thread without changing the main conversation. The side panel has its own icon and composer, supports collapse, expand, and drag on desktop, and can be moved while collapsed on mobile.

How do AI Images work?

AI Images starts from a chat or voice request. Maximo first checks image credits, personal and daily caps, model access, output count, source-image count, source MB, File Manager count, and storage. It then generates a new image or edits the selected source image, saves each output to Files, and returns compact image cards in chat with preview, open, Files, and edit-this actions.

What is Maximo Design?

Maximo Design is the AI design studio inside MyTabulon. Activate the Design plugin by typing @design in the Maximo composer, then ask Maximo to create a design — a pitch deck, landing page, one-pager, UI prototype, poster, social graphic, or reusable brand/design system. Artifacts are plain HTML/CSS/JS rendered live in a preview, stored on your workspace cloud, and mirrored in the File Manager. You can save versions, restore snapshots, and publish a design to a public /d/{slug} share link.

How do I share or export a Maximo Design?

To share, ask Maximo to publish the design (design_publish) and it returns a public /d/{slug} link; use design_unpublish to take it offline while keeping the files. To download, use the design workspace panel to export PNG, PDF, PPTX, MP4, or ZIP. Exports count against your plan's monthly render budget, and design video (MP4) is metered in seconds and starts on Plus.

Which plans include Maximo Design and video exports?

Every plan includes Maximo Design. Free gets 2 design projects, 30 AI generations, and 50 exports monthly, but no design video (MP4). Plus gets 15 projects, 400 generations, 750 exports, and 2 minutes of video monthly. Pro gets 50 projects, 2,000 generations, 4,000 exports, and 10 minutes of video monthly. Max gets 200 projects, 8,000 generations, 15,000 exports, and 40 minutes of video monthly. The visual canvas is available on every plan; custom design systems are capped at 1 on Free, 5 on Plus, 20 on Pro, and 100 on Max.

Which plans include AI image generation and editing?

Free does not include AI image generation or editing. Plus includes Maximo Pandora 3.5 Mini Image with 30 shared business credits monthly, 15 personal monthly credits, 3 daily credits, 2 outputs per request, 2 source images, 25 MB sources, and 1K max resolution. Pro adds Maximo Pandora 3.5 Pro Image with 250 shared credits monthly, 75 personal monthly, 15 daily, 4 outputs, 4 sources, 50 MB, and 2K. Max raises that to 1,000 shared credits monthly, 250 personal monthly, 50 daily, 8 outputs, 8 sources, 100 MB, and 4K.

What does RPB mean on the benchmark page?

RPB means Real Performance Benchmark. It is MyTabulon's evidence-adjusted public model score for real agentic business work, combining task completion, tool call accuracy, reasoning, safety, user sentiment, latency, and cost efficiency.

How should I read the AI benchmark leaderboard?

Start with RPB, then check confidence, sample size, tool accuracy, median tool latency, domain winners, and sanitized traces. A high RPB with low confidence is promising but still collecting evidence. A model can also lead in one domain, such as CRM or accounting, without being the overall leader.

Can public benchmarks expose my business data?

No. Public benchmark evidence can show model labels, domains, tool names, statuses, broad outcomes, scores, and sample counts. It does not show private prompts, raw payloads, business names, customer names, record IDs, file contents, or workspace-only data.

Can AI labs game MyTabulon's public benchmark?

The benchmark is designed to be hard to game because it uses production tool outcomes, anonymized action evidence, user feedback, hidden or rotating golden tasks, confidence thresholds, and versioned scoring. It does not accept a model's own claim that it completed a task.

How do AI Docs work?

AI Docs starts from a chat, voice, or AI Docs page request. Maximo checks document credits, personal and daily caps, active jobs, business-wide File Manager file count, and business-wide storage. It gathers role-approved source files, creates a document job, renders PDF, Word, Sheet, Slides, HTML, TXT, or CSV, saves the output to Files, then shows a generated-document card in chat with preview, open, refresh, and targeted revision controls. Members only see their own AI Docs jobs and can only use source files they uploaded, added, or generated.

How do Maximo Sites work?

Maximo Sites allows you to build, preview, host, and publish websites and web apps on your workspace cloud. You can design them in chat or voice using standard HTML, CSS, and client-side JS files. You can also build serverless backends at functions/api.js (Plus and above) with a built-in key-value database (ctx.store) and environment variables. Sites automatically get secure SSL certificates and public addresses at https://{slug}.mytabulon.com. They scale to zero when idle to save resources.

Can I highlight part of an AI document and ask Maximo to change only that part?

Yes, when the preview text is selectable inside MyTabulon. Generated PDF previews use a PDF-fidelity selectable MyTabulon layer when job recipe data is available; HTML, TXT, and CSV are naturally selectable. If a browser-native PDF or external Office viewer blocks selection capture, use Mark change and paste or describe the exact section. Revisions save as new files instead of overwriting the original.

Which records can global search find?

Global search can find feature pages plus clients, leads, inventory, invoices, quotes, deals, projects, tasks, files, expenses, team members, and AI chats within the active company when the signed-in user's role allows it. Member file results are limited to files and folders they uploaded, added, or generated, and sensitive owner/admin destinations stay hidden.

What does MyTabulon Calendar show?

MyTabulon Calendar combines appointments, task due dates, AI task wakeups, approval deadlines, automation workflows, AI jobs, customer reminders, lead follow-ups, invoice due dates, project start and due dates, and payroll reminders. Use month, week, agenda, search, source filters, and the selected-day panel to inspect the schedule without changing the source records.

What are the main keyboard shortcuts?

Use Ctrl K or Meta K for the command palette, ? or Ctrl / for the reference, Ctrl B or Meta B for the sidebar, g chords for navigation, n chords for quick create, and r r to refresh page data.

When should I use Leads, Customers, and Clients?

Use Leads for prospects, Customers for lifecycle and activity timeline across leads and clients, and Clients for billing-ready accounts used by invoices and payment history.

How do payment links stay safe?

Payment links use long random tokens. Share the generated link, receipt, PDF, or email with customers, not a dashboard URL. The invoice number helps the business identify a document but is not the secret.

Why is payroll not available for my business?

Payroll requires the right workspace access, Nigeria/NGN business setup, payroll-ready employee profiles, Paystack funding, and enough balance for salaries and fees.

Who can access sensitive business areas?

Owners can edit business settings and handle owner-level controls. Administrators can manage sensitive workspace areas such as Business Memory, company-wide AI Actions, AI Automations, Analytics, Accounting, Payroll, Imports, Team, Employees, Integrations, MCP, and Agent Skills, but business settings edits remain owner-only. Members can work in day-to-day modules but cannot access sensitive company memory or admin areas; File Manager and AI Docs are scoped to files, source files, and jobs they uploaded, added, or generated, usage counters remain business-wide, and chat action history is scoped to their own permitted Maximo AI actions. Viewers are read-only for allowed pages. Employee Viewers only get assigned tasks, calendar, support, profile, security, and notifications.

What is Business Memory used for?

Business Memory stores durable company knowledge for Maximo AI: facts, preferences, style, source records, private notes, approved memories, retention rules, provenance, and conflict checks. It is available only to business owners and administrators. Company memories describe shared business facts; first-person or personal work memories stay private to the originating user. Members, Viewers, and Employee Viewers cannot open memory, search it through Maximo chat or voice, receive selected memory in AI context, or have their chats silently captured into company memory.

Can Members access company memory through Maximo chat or voice?

No. Member roles are blocked from Business Memory at every layer: frontend page access, memory APIs, selected memory prompt context, Maximo memory tools, live voice tool calls, global search, and background memory capture. Member chat and voice context is also scoped to that user's own or assigned work, and chat sessions are user-owned, so Maximo must not describe another teammate's leads, files, AI Docs jobs, prior chats, or private memories as the current user's activity.

What is the difference between Maximo AI chat and AI Automations?

Chat is live, conversational work. Automations are proactive monitors, scheduled workflows, approval-gated actions, and scheduled AI jobs that keep running outside a live chat while saving their updates into a normal Maximo chat session.

Can Maximo schedule AI work from chat or voice?

Yes for owners and administrators. Chat and voice share the same Maximo tool layer, so either one can create scheduled AI tasks when the user has permission and asks Maximo to wake later, watch a live event, repeat checks, keep them updated, assign work to AI, or run a realtime monitor. The job can set a first wake time, optional stop time, wake-every interval in minutes, max runs, and notification channels, then save every update in a normal chat log.

Can Maximo use and control the calendar from chat or voice?

Yes, but only within the signed-in user's role. Chat and voice use the same Maximo calendar and Calendly tools. Maximo can read allowed calendar data and, when permitted, create or update the underlying tasks and appointments, add customer reminders, update lead follow-ups, manage AI jobs and workflows, run Google Calendar sync, list Calendly links and availability, create booking links, book invitees, cancel Calendly meetings, mark no-shows, and sync Calendly bookings. Owner/admin-only integration and automation tools remain blocked for lower roles.

What does wake every mean on a scheduled AI task?

Wake every is measured in minutes. It controls the gap between repeated AI updates after the first wake time. Use 0 or leave the repeat interval off for a one-time run, or set a value such as 15 to have Maximo check again every 15 minutes until the stop time or max runs is reached.

Can I assign a task to Maximo AI?

Yes. Tasks can be assigned to a person or to Maximo AI. When assigned to AI, the task can include instructions, first wake time, wake-every interval in minutes, max runs, and delivery channels. The task stays linked to its scheduled AI job, and the user can edit, unassign, pause, resume, stop, delete, run now, or open the saved chat log from AI Automations.

Which channels can scheduled AI task updates use?

Scheduled AI task updates can use in-app notifications, browser push, email, WhatsApp, and Telegram. In-app works inside MyTabulon. Push, email, WhatsApp, and Telegram depend on the workspace connection and notification preferences being configured.

Which customer communication automations can I install?

The Comms view can install four customer-facing workflows: AI invoice follow-up for sent invoices that need a check-in, AI payment reminders for invoices due soon or overdue, AI quote follow-up for open quotes before they go cold, and AI abandoned lead nudge for stale leads. Each workflow creates serious branded outreach using the business identity and the customer or document context available in MyTabulon.

What goes into an automated customer email?

Customer automation emails include the uploaded company logo, company DBA or name, customer greeting, serious follow-up copy, document reference, status, issue date, due date or quote validity, outstanding amount, total, paid amount when available, a next-step section, and a footer explaining that Maximo AI prepared the message for the business. Invoice emails include a secure payment action link; quote and lead emails currently use reply links.

Do automation invoice emails create real payment links?

Yes. When an automation prepares an invoice email, it reuses the invoice payment link if one already exists. If the invoice has no active payment link, the backend creates and enables one, then places the secure /pay token URL into the email. Customers can open that public payment page without dashboard access, while the random token remains the actual access key.

Why do quote follow-ups and lead nudges use reply links instead of public pages?

Invoices already have secure customer-facing /pay pages. Quotes and leads do not yet have a dedicated public response page, so the safest current behavior is to ask the customer to reply to the company contact email. The automation still brands the message, summarizes the record, and gives a clear action button, but it does not expose dashboard-only quote or lead URLs to external customers.

How do automation approvals work?

When a workflow requires approval, MyTabulon creates a pending run, stores drafted actions, and sends an owner approval request through selected channels. The owner can approve or reject inside Runs & approvals, click approval links from email, Slack, WhatsApp, or Telegram where configured, or reply to an inbound email webhook with APPROVE or REJECT plus the one-time token. Approved runs execute the held actions; rejected runs are marked rejected and pending drafts are not sent.

Which approval channels are supported?

Approval security supports in-app, email, WhatsApp, Telegram, and Slack. In-app approval appears inside AI Automations. Email approval sends Approve and Reject links plus reply-token commands. WhatsApp and Telegram delivery depend on linked messaging accounts. Slack delivery uses the Slack integration and sends interactive approval actions when the workspace connection is configured.

What are auto-approval rules and the max amount?

Auto-approval rules let owners choose which workflow types may send without manual approval. The switch must be enabled, the workflow type must be selected, and the item amount must be at or below the configured cap. The cap defaults to 10,000 in the company's currency and is shown with the currency symbol. Items above the cap always require approval, even when auto-approval is on.

How do I test what automation emails will look like?

Use the temporary development email preview page to inspect the full automation email family. It reads the current company, uses the uploaded logo, pulls real invoices, quotes, and leads, creates exact invoice payment links through the backend payment-link endpoint, and shows the approval request email layout with production-shaped approve and reject URLs. For a real send test, run a workflow from AI Automations and inspect the backend development email log or local SMTP inbox.

Where can I review drafted automation emails before sending?

Open AI Automations and go to Runs & approvals. Pending drafted actions show the recipient, action type, status, and full message body. Keep auto-approval off for a workflow type when you want every message to be reviewed manually before it is sent. Use Approve & run only after the message, recipient, and business context look correct.

Why did an automation email not send?

Common reasons include missing client or lead email, workflow requiring approval, auto-approval disabled, amount above the auto-approval cap, missing SMTP configuration in production, a plan restriction, or no matching business signal. In development mode the backend prints the email HTML to the terminal and local SMTP may be unavailable; that is normal unless production SMTP is being tested.

What business data must be correct before enabling customer automations?

Make sure the company logo, DBA or name, billing/contact email, phone, website, and currency are correct. Customer records should have valid email addresses. Invoices should have accurate balance due, status, due dates, and totals. Quotes should have clear totals and validity dates. Leads should have useful names, company names, stages, and email addresses when outreach is expected.

Are sent automation emails reversible in the AI Action Ledger?

No. A drafted automation action can be rejected before it sends, but an email that has already left the system is an external effect and cannot be undone. The AI Action Ledger can show many workspace-changing actions and supported reversals, but external delivery such as emails, payment links sent to customers, transfers, signatures, syncs, and third-party messages should be treated as final.

What is the AI Action Ledger for?

It records Maximo workspace actions, field diffs, source channel, actor, reversibility, and undo or redo state. Owners and administrators can review the company-wide ledger; members can review and reverse their own permitted chat actions. Supported data changes can be reversed; external effects such as sent emails, transfers, signatures, syncs, and MCP calls remain irreversible.

How should I organize files?

Use File Manager for active business documents, folders for structure, projects for context, and file notes for meaning. Storage usage counts against the company plan limit, so member views can show company-wide usage without showing company-wide files. Per-file upload limits are plan-based: Free 50 MB, Plus 250 MB, Pro 2 GB, and Max 10 GB.

How do inventory reservations work?

Reserve stock manually or against an invoice or project when availability must be protected. Reservations keep available quantity honest until released or fulfilled.

Where do Google Calendar settings live?

Open Settings, choose Integrations, then connect Google Calendar. From there you can choose calendars, save sync preferences for appointments, tasks, invoices, lead follow-ups, projects, payroll reminders, AI automations, and customer reminders, import Google events as appointments, sync safely, disconnect, or remove imported events. The main schedule lives at MyTabulon Calendar.

Where do Calendly settings live?

Open Settings, choose Integrations, then connect Calendly. From there you can load event type booking links, create one-use or custom share links, load available times, book invitees, copy or open profile and event links, decide whether bookings create MyTabulon appointments, choose the sync window and event-type filters, load scheduled meetings, sync now, cancel meetings, mark no-shows, and track cancellations. The webhook receiver is ready for near-real-time invitee events.

Which integrations are currently covered?

When should I use Zapier instead of a native integration?

Use native integrations when MyTabulon has a built-in workflow, such as Calendar, Calendly, Drive, Gmail, Notion, accounting, Mono, Slack, or DocuSign. Use Zapier when a no-code workflow needs outbound Catch Hook events or inbound actions from another app.

What is the difference between MCP connections and Agent Skills?

MCP connections add external tools Maximo can call. Agent Skills add repeatable instructions for how Maximo should work. MCP changes what tools exist; skills change the playbook for using approved tools and MyTabulon records. In Maximo chat, type / to select enabled MCP servers or active Agent Skills as context for the next request; Maximo still respects permissions, allowlists, and safety checks before using either one.

Can employees access the whole dashboard?

Not by default. Employee Viewer accounts can access assigned tasks, calendar, support, profile settings, security, and personal notifications until an administrator promotes them. Promotion can make them a Member, Administrator, or another allowed team role, but sensitive company areas still depend on the final role.

Where do payouts go?

Payouts go to the connected default bank account in Business Settings. Manual and auto payout behavior depends on threshold, fee settings, OTP finalization, and Paystack transfer status.

How do referral earnings work?

Workspace owners, administrators, members, and viewers can share their personal Referral Earnings link from /dashboard/referrals. When a referred business registers through that link and pays for a subscription, that signed-in referrer earns 20% of the paid subscription charge. Renewal commissions continue for that referred business for 12 months from the first paid charge. The page shows that person's available balance, total earned, paid referrals, registered businesses, commissions, payout accounts, and withdrawal history.

What fees apply when withdrawing referral earnings?

Referral withdrawals start at NGN 5,000 and go to a Paystack-verified Nigerian bank account. Paystack transfer fees are deducted from the withdrawal before transfer: NGN 10 up to NGN 5,000, NGN 25 for NGN 5,001 to NGN 50,000, and NGN 50 above NGN 50,000. Nigerian stamp duty adds NGN 50 on transfers of NGN 10,000 and above. The withdrawal quote shows gross amount, Paystack fee, stamp duty, and net amount to bank before sending.

What should I check when uploads fail?

Check subscription access, file size, storage usage, operation document caps, supported type, and whether the business still has room under its plan allowance. File Manager per-file limits are Free 50 MB, Plus 250 MB, Pro 2 GB, and Max 10 GB; large eligible uploads use direct cloud upload when cloud storage is configured.

Who can add or manage Bring Your Own Model (BYOM) connections?

Only Business Owners and Administrators have permissions to manage BYOM connections and import/edit models under Settings > Integrations > Bring Your Own Model. Workspace Members and Viewers cannot manage connections.

Are BYOM models available to everyone in the workspace?

Yes, once a BYOM model is configured and enabled by an owner or administrator, it is available company-wide to all workspace members (Owners, Admins, Members, Viewers) through the model selector in Maximo AI chat.

Where are legal pages and consent links?

Privacy and Terms pages are public. Registration, WhatsApp, Telegram, and invite flows link to them when user consent or legal context is needed.
